Executive Assistant to Vice President

Major Responsibilities:

The Executive Assistant to the Vice President is an administrative role that is primarily responsible for providing efficient and courteous customer service and performing administrative functions for the Vice President in a professional and timely manner. The incumbent must fully comply with the Bank’s policies as outlined in the Bank’s Anti-Money Laundering (AML), Counter Financing of Terrorism (CFT) and Know Your Customer (KYC) requirements. In addition, the position holder is required to uphold the Bank’s Customer Service Standards and Code of Ethics at all times.

CORE RESPONSIBILITIES

  • Assists with the smooth functioning of the Department’s reporting to the Vice President by liaising with the team on the completion of weekly, monthly and quarterly administration reports.

  • Records minutes of all committee meetings and other business meetings as required, and produces an accurate, succinct transcript in a timely manner.

  • Maintains a high standard of professionalism, integrity and confidentiality.

  • Ensures the accurate drafting of committee summary reports and timely submission of the report to the Vice President.

  • Assist the Vice President with compiling the monthly Executive Committee and quarterly committee reports and relevant appendices.

  • Prepares monthly materials for the Management and Executive Committee meetings and quarterly materials for the committee meetings.

  • Assists the Vice President with managing calendar, meetings and other activities and performs other duties as may be required from time to time.



Qualifications, Skills and Experience:

REQUIRED SKILLS & QUALIFICATIONS

  • Bachelor's Degree in Secretarial Science, Business Administration, Banking & Finance or related discipline from an accredited University would be an asset.

  • Minimum of 3 years’ experience at an Executive Assistant level or a similar position.

  • Strong administrative skills and advanced knowledge of MS Office, particularly Excel & Word.
